Grad School Resume: What Changes When It Is Not for a Job

A grad school resume answers a different question from a job resume. Cal State Long Beach’s Graduate Center describes a job résumé as “a summary of your qualifications for a particular job.” The graduate pages we read ask something else. Duke’s Graduate School says the document “should summarize your education, academic achievements, work history, and professional accomplishments” and may add “other credentials that demonstrate your preparedness for graduate study.”

We read seven pages in October 2026, from programs and graduate schools, from engineering PhDs to social work and speech-language pathology. Each makes room for a resume or CV, and they disagree on length: the page counts they set or recommend run from one to four. MBA, law school and medical school resumes follow their own schools’ rules and are not covered here.

Key Takeaways

  • Readiness and fit, not one job. Duke’s resume page closes its list with “credentials that demonstrate your preparedness for graduate study,” and Stanford’s Chemical Engineering department uses its research list to judge “preparation and fit.”
  • No shared length. For autumn 2027 entry, Stanford Chemical Engineering caps its research list at one page. Michigan Robotics allows four pages, and Michigan’s School of Social Work recommends two without requiring it (both read October 16, 2026).
  • What moves up depends on the degree. Michigan Robotics and Stanford Chemical Engineering ask for research, publications and presentations. Harvard Kennedy School lists professional employment first, and Michigan Social Work asks you to highlight human service experience.
  • A second reader is invited. Michigan Robotics says “Consider having someone else review your document,” and Michigan Social Work suggests career services, a writing center or mentors.

Who reads a grad school resume, and for what

The reader changes first. Michigan Robotics says the document gives “the admissions committee” an overview of your education, achievements, research experience, work history and skills. Stanford’s Chemical Engineering department says its research list lets the committee “better evaluate your preparation and fit for our program.” The University of Michigan School of Social Work uses the résumé “to assess educational background and human service experience.”

Two advising pages we read describe the job résumé. Penn Career Services, writing for job seekers, says “Undergraduates & recent graduates should use a one-page resume.” CSULB’s Graduate Center, on a page written for graduate applicants, says a good job résumé lists the experiences that qualify you “for the particular job you’re applying to, and nothing else.” Both are advising-office guidance, not admissions rules, and the programs below set their own terms.

How long a grad school resume should be, program by program

These are the seven pages we read on October 16, 2026. Stanford’s page names its entry term and Harvard Kennedy School’s guidance is a dated blog post; the rest are cited as read on that date.

UT San Antonio School of Health Professions, speech-language pathology MSCurrent resume, highly recommendedNo page countRead October 16, 2026

The two hard limits sit at opposite ends. For autumn 2027 entry, Stanford’s Chemical Engineering PhD caps its research list at one page and says the portal “incorrectly states the page length is 3 pages.” Michigan Robotics says “your resumé or CV must not exceed four (4) pages in length.” Both are engineering departments, so even within engineering the number differs.

At two programs, two pages is a recommendation, not a requirement. Florida’s Chemical Engineering department says the two-page length shown in UF’s Graduate Application portal “is a Graduate School recommendation” and that longer documents are accepted. It also tells applicants not to limit “useful information to an arbitrary length.” Michigan Social Work says “a two-page résumé is recommended for applicants,” and that this length is not required.

Where the program sets no number

In a November 2023 admissions blog post, Harvard Kennedy School said a résumé “several pages long” was fine “particularly if you have significant work experience.” It also asked applicants to be “concise and selective.” Neither Duke’s resume page nor UT San Antonio School of Health Professions’ speech-language pathology admissions page gives a page count.

Our advice where a program’s page is silent: the application portal may still show a length, as Florida’s and Stanford’s do, but treat it as a recommendation unless the program confirms it. Then fill only the sections the program names. CSULB’s Graduate Center, as its own advice, suggests “2-3 pages at most.” On the resume-or-CV question, Michigan Robotics says a CV “is usually preferred for academic and research-oriented graduate programs” but that either format “is usually accepted unless a specific format is requested by your intended program.”

What moves up on a resume for graduate school

Illustration: Seven tiny people walk and work around a fairground with a looping roller coaster, a Ferris wheel and a striped circus tent, one serving from a food cart and two at the window of a food truck, with city towers and a hot air balloon behind

The research programs we read move research toward the top. Michigan Robotics recommends sections for research experience, teaching experience, and publications and presentations. For each research entry, it asks you to “Provide details about your role, methods or techniques used, and outcomes.” Stanford’s list covers “qualifications, honors, educational accomplishments (including publications and presentations) and interests” and “should be a bulleted list.”

Harvard Kennedy School and Michigan Social Work lead with work and service. The Kennedy School’s 2023 post listed professional employment with titles and dates, then degrees and honors, “Volunteer, public service, and political work,” recent leadership and extracurricular activities. Michigan Social Work suggests a “Human Service Experience” header for paid, volunteer and internship work related to social work, with 3-5 bullet points per role. Other jobs go under “Additional Experience,” with 2-3 bullets each.

UT San Antonio’s speech-language pathology program asks for some of both. Its page says a resume “should include relevant employment, leadership, research, shadowing, and volunteer or community service experiences.” Duke’s resume page also names “publications, research experiences” among what the document may include.

Ordering the sections

CSULB’s Graduate Center advises that “headings are listed in order of importance,” with education almost always first. Its example is clinical psychology, where research or clinical experience “should be listed higher on the page” and a Dean’s list mention lower. That is one advising office’s view, not an admissions rule.

A sample grad school resume layout (ours)

We built the two outlines below from the section lists that Michigan Robotics, Harvard Kennedy School and Michigan Social Work publish. They are our suggestion, not any program’s form.

Research program (from Michigan Robotics’ list, reordered and shortened by us):

  1. Contact information
  2. Education
  3. Research experience: your role, methods and outcomes
  4. Publications and presentations
  5. Teaching experience
  6. Honors and awards
  7. Skills and certifications

Professional master’s (from Harvard Kennedy School and Michigan Social Work):

  1. Contact information
  2. Education, with honors
  3. Relevant experience, under the program’s own label if it gives one
  4. Additional experience
  5. Volunteer work, service and leadership

One bullet, rewritten (our illustration, not from any program). Job version: “Handled data entry for a clinical research office.” Research-program version: “Entered and cleaned survey data for a faculty-led clinical study; built the summary tables used in its first analysis.”

How to turn a job resume into a grad school resume

Our advice, in order, built on the pages above:

  1. Start from the program’s page, not the portal. Note the document name, page limit and file type. At Stanford Chemical Engineering, the department’s one-page rule overrides the portal’s label.
  2. Reorder to the program’s list. After contact details and education, lead with the experience the program lists first: research for a research degree, human service work for Michigan Social Work.
  3. Rewrite duties as evidence. Michigan Robotics suggests action verbs and says “When possible, use numbers or clear examples to illustrate achievements.”
  4. Get a second reader. Michigan Robotics says “Consider having someone else review your document.” Michigan Social Work suggests feedback from “your university career services or writing center” and from mentors.
  5. Finish before you submit. Michigan Robotics says the CV cannot be changed online once the application is submitted. Duke’s application instructions let applicants add “an updated CV listing new awards, appointments, or publications” through the portal.

At Duke, the resume sits on the same list of required documents as transcripts, letters of recommendation, a statement of purpose and a Life Experiences Statement. Our advice is to let the resume carry the dates and titles, so the statement can spend its words on your reasons.

ExceptionalGrad’s Graduate Resume and C.V. Editing service works on these choices. Its page names “the format and presentation, ordering of elements, length of descriptions, what components and experiences to highlight at the forefront.” We edit and advise on the resume you write; we never write it for you. Michigan Robotics tells applicants to “Accurately describe your experience and achievements,” and Duke says “It is your responsibility to ensure that all the information provided in the application is accurate.”

Frequently Asked Questions

Should a grad school resume be one page?

Not unless the program asks for one. Of the seven pages we read in October 2026, only Stanford Chemical Engineering sets one page, for its autumn 2027 research list. Florida’s Chemical Engineering FAQ tells applicants not to limit “useful information to an arbitrary length,” and Harvard Kennedy School’s 2023 post accepts several pages.

What skills should go on a grad school resume?

Skills your field uses, shown in context. As read in October 2026, Michigan Robotics suggests “lab techniques, programming languages, statistical methods, language proficiency, or certifications relevant to your field.” CSULB’s Graduate Center lists languages and specialized software. Our advice: list a skill only if an entry above it shows you using it.

What should a grad school resume look like?

Plain, structured and easy to scan. Harvard Kennedy School’s 2023 post required no particular template, only a résumé that is “well-structured, logically organized, and easy to read.” As read in October 2026, Michigan Robotics asks for a PDF, Duke accepts PDF uploads only, and CSULB’s Graduate Center advises minimal formatting with no photographs.
